ATS Implementation & Hiring System Engineering

Your ATS is part of
the hiring experience.

Implement, migrate, rebuild, or optimize Ashby and Greenhouse around the people who use them. PathPair designs the hiring system, then configures the technology to support it.

Standalone service. No Diagnostic or other PathPair engagement required.

01 / The problem

New software can carry
old problems.

Outdated stages. Unnecessary approvals. Templates nobody owns. Reporting that means something different to every team. Moving those patterns into a new ATS carries the confusion forward.

01

An unclear stage

A Candidate waits while the team assumes someone else owns the update.

02

An approval without an owner

The role stays blocked. Recruiters chase answers instead of moving work forward.

03

An unchecked automation

A message goes out at the wrong moment, creating confusion and recovery work.

Illustrative operating scenarios, not client results.

02 / The human test

The configuration
becomes the experience.

“Do I know what happens next?”

Acknowledgment, preparation, timely updates, and a clear route to an informed person should be designed into the journey. Test what happens when the normal path breaks, too.

“Can I see what needs attention?”

Give work a clear owner. Design usable handoffs and exceptions. Decide which repetitive tasks can be automated and where human attention is needed.

“What am I expected to do?”

Make intake, approvals, interview plans, feedback expectations, and decision ownership explicit. Enable the people who will use the system.

“Can we trust what we are seeing?”

Agree field and stage definitions, reporting requirements, and review ownership. Measure whether the system supports the intended experience.

03 / What we can build

One hiring system.
Connected capabilities.

Give every stage a purpose.

Requisitions, approvals, stages, pipelines, and role architecture aligned to how your organization hires. Define ownership before configuring the workflow.

Make the next step visible.

Communication, scheduling, preparation, status updates, rejection, and closure. Design Human Access and recovery paths for exceptions.

Make each conversation count.

Interview plans, competencies, scorecards, interviewer responsibilities, independent feedback, debriefs, and decision workflows.

Give recruiters and managers a usable system.

Templates, coordination, reminders, handoffs, and selected automation. Connect everyday work to clear responsibilities and enablement.

Make the reporting mean something.

Field architecture, stage definitions, source data, data quality checks, operational reporting, and Candidate Experience measurement design.

Keep the system understandable as it grows.

Roles, permissions, approval rights, change control, documentation, and operating ownership. Define who maintains the system after launch.

04 / A direct starting point

Start with what you need.

You can hire PathPair directly for ATS Implementation & Hiring System Engineering. No Bridge Assessment, Hiring Experience Diagnostic, AI engagement, or broader consulting package is required.

01

One workstream

A communication rebuild, stage redesign, interview architecture, reporting design, or another agreed piece of work.

02

Several connected workstreams

Address the parts that need to work together, with a clear scope and defined handoffs.

03

A complete implementation

Design, configuration, migration where included, testing, enablement, launch, and a measurement plan.

The agreed scope should be useful on its own. Pricing follows scope. Additional work requires separate Client approval.

05 / Your starting condition

Where are you starting?

Build intentionally from the beginning.

Translate the hiring need into an approved design before configuring Ashby or Greenhouse. Agree what a usable, supportable launch requires.

Decide what should move with you.

Review the workflows and data in scope. Agree mappings, cleanup responsibilities, validation, cutover, and rollback responsibilities before moving into the new environment.

Bring the system back into alignment.

Examine where today’s configuration no longer matches the way you hire. Redesign the agreed workflows and plan changes around ongoing recruiting activity.

Improve a defined part of the system.

Focus on the workflow or experience that needs attention. You do not need to rebuild the entire environment to address an agreed problem.

06 / The implementation path

The requirement
comes before the feature.

Start with the hiring need.

Clarify the problem, participants, evidence, constraints, and operating requirements. Agree scope and responsibilities.

Decide what people should experience.

Define the intended Candidate and team experience, including moments of waiting, uncertainty, and recovery.

Connect the operating pieces.

Specify stages, ownership, approvals, communication, interview structure, permissions, data, and reporting in scope.

Build from the approved design.

Carry out agreed Ashby or Greenhouse configuration. Coordinate work that depends on your team, vendors, integrations, access, or platform capabilities.

Walk the paths before people depend on them.

Validate agreed workflows, exceptions, permissions, Candidate-facing behavior, and reporting. Record findings and resolve issues against the agreed acceptance criteria.

Prepare the people who own it.

Provide scope-appropriate documentation, training, and handoffs so the team understands how to operate and maintain the system.

Make the transition deliberate.

Coordinate the agreed rollout, Client approvals, cutover responsibilities, and support arrangements.

Look at what happens after launch.

Define the measures, owners, and review cadence for adoption, operational behavior, and Candidate Experience. Further optimization follows evidence.

A high-level delivery path. Configuration, migration, integrations, testing, and post-launch support are included only as agreed in the service scope.

07 / Platform fit

Built around
the platform you chose.

01

Ashby

02

Greenhouse

PathPair aligns your chosen platform with the hiring system your organization needs. Scope reflects your subscription, available capabilities, existing environment, and access.

PathPair is an independent service provider. No vendor partnership, certification, endorsement, or reseller relationship is claimed.

08 / What you leave with

A system your team
can understand and own.

Depending on scope, your engagement may include:

01

Approved design

Hiring-system architecture, stage definitions, Candidate Communication design, interview plans, scorecards, and role or permission design.

02

Implementation evidence

Configured workflows or configuration-ready designs, implementation records, testing findings, and launch-readiness validation.

03

Operational handoff

Operating documentation, enablement materials, governance responsibilities, and a post-launch measurement plan.

The SOW defines the deliverables, acceptance criteria, dependencies, and support period. No fixed timeline or outcome is assumed.

09 / Clear responsibilities

Implementation with
human accountability.

What does PathPair take on?

The agreed hiring-system design, ATS configuration and implementation activities, testing, documentation, and enablement. The scope identifies the specific workstreams and responsibilities.

What does the Client retain?

Hiring and employment decisions, approval authority, ownership of its systems and data, and ongoing recruiting operations. Access, review, vendor dependencies, launch approval, and handoff responsibilities are agreed before delivery.

Is this recruiting or managed ATS administration?

This is a scoped implementation service. It is not recruiting agency work, ATS resale, legal compliance auditing, or an assumption of your ongoing recruiting function. Continuing support must be separately defined.

What about automation and AI?

Begin with the operating need. Use appropriate workflow automation where it fits. For AI in scope, define approved use, Human Review, accountability, Candidate impact, and measurement. Broader AI Implementation Enablement is a separate engagement.

What if you find a broader problem?

We identify it transparently and explain the evidence. You decide whether to address it. Additional work requires separate approval; your implementation does not depend on buying another service.

10 / Why PathPair

Technology is part
of the experience.

Hiring Experience Engineering™ connects configuration decisions to what people actually encounter. A field shapes the information available. A stage shapes the handoff. An automation shapes the message. The implementation should account for those consequences.

your ATS is supposed
to support.
